1. What Information Do We Collect?

We collect personal information that you voluntarily provide to us when you register on the Website, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Website or otherwise when you contact us, as follows:

Transaction details: records of payments to and from you and details of products and services you have purchased from us.

Personal information collected automatically
Some information is collected automatically when you visit our Website. This information does not reveal your identity but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name/ID, country, time zone setting and location, information about how and when you use our Website and other technology on the devices you use to access this website. Log and usage data: Log and usage data is service-related, diagnostic, usage and performance information our servers automatically collect when you access or use our Website and which we record in log files. 3. How do we use your information?
We will only use your personal data where the law allows us to and we will only use your personal data for the purposes for which we collected it, unless we consider that we need to use it for another reason and that reason is compatible with the original purpose, in which case we will notify you and we will explain the legal basis which allows us to do so. We use personal information collected via our Website for a variety of business purposes described below. The most commonly used legal bases we rely on for processing your personal data are as follows:

Where we are relying on your consent to process your personal data you can withdraw this consent at any time. For example, we post testimonials on our Website that may contain personal information. Prior to posting a testimonial, we will ask for your consent to use your name and the content of the testimonial. - Legitimate Interests: We may process your data when it is reasonably necessary to achieve our legitimate business interests or that of a third party. We will always make sure we consider and balance any potential impact on you (both positive and negative) and your rights before we process your personal data for our/a third party’s legitimate interest. We rely on the legitimate interests legal basis for our marketing, for example if you have purchased a product or service from us we may use the details you provided with your order to contact you with details of products or services we believe may be of interest to you.
- Performance of a Contract: Where we have entered into a contract with you, or are taking steps at your request to enter into a contract, we may process your personal information to fulfil the terms of our contract, for example for the fulfilment of orders placed by you, or participation in the “Hawkstonian Loyalty Programme”, and facilitation of associated payment processing.
- Legal Obligation: We may disclose your information where we are legally obliged to do so in order to comply with applicable law, for example where we are required by court order to provide requested information.

4. Who will your information be shared with?
We may share your data with third-party vendors, service providers, contractors or agents who perform services for us or on our behalf and require access to such information to do that work. Please see below for details of the types of third parties we share your personal data with:
- Fulfilment providers who perform services on our behalf to ensure fulfilment and delivery of orders placed by you; such as Yodel and Laithwaites
- Service providers who provide IT and systems administration services and access to platforms we use for operational purposes to run our business, including email delivery, marketing and customer service, hosting services, data analysis, payment processors and administration of our loyalty programs; such as Klaviyo, Age Check, Gorgias or Antavo
- Professional advisers including lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accounting services to us
- Credit reference organisations for the purposes of undertaking credit checks:
- HM Revenue & Customs, regulators and other authorities based in the UK who require reporting of processing activities in certain circumstances, for example to ensure we are complying with legal and regulatory obligations;
- Third parties who require access to the personal data we process for the purposes of the prevention or detection of crime or for the purposes of legal proceedings;
- Fraud prevention agencies and credit reference agencies for the purposes of undertaking anti-money laundering, anti-terrorism and other financial checks to ensure we are complying with our legal and regulatory obligations;
- External auditors who provide auditing and similar compliance services to us to ensure we are complying with our legal and regulatory obligations when we provide goods or services to you, process your personal data or where we are certified under any relevant schemes or certifications;
- Financial providers who provide us with financial services and facilities;
- If you use the “Pubfinder” tool on our Website you will be have the option to share your postcode/location with Google Maps Platform APIs (e.g. Google Maps API, Place API). To find out more about Google’s Privacy Policy, please refer to this link.
- We allow selected third parties to use tracking technology on the Website, which will enable them to collect data on our behalf about how you interact with our Website over time. This information may be used to, among other things, analyse and track data, determine the popularity of certain content, pages or features, and better understand online activity. Unless described in this notice, we do not share, sell, rent or trade any of your information with third parties for their promotional purposes. Examples include Klaviyo, Meta, Clarity or Google Analytics.
- We also share limited data through Ad Networks with Google and Meta, to enable us to target you or others like you with relevant advertising.
- We may also share your information with our affiliates, in which case we will require those affiliates to honour this privacy notice. Affiliates include our parent company and any subsidiaries, joint venture partners or other companies that we control or that are under common control with us.
If there is a change of ownership or control of our business, such as a merger, restructure, sale of the business or its assets or we acquire a new business, your information may be shared with the parties involved in this change. We will anonymise the information where possible and any recipients will be bound by contractual terms to keep such information confidential.
We have contracts in place with our data processors, which are designed to help safeguard your personal information. We expect all third parties to respect the security of your personal data and to treat it in accordance with the law and the terms of the contract we have in place with them. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will also not share your personal information with any organisation apart from us, and they agree to protect the data they hold on our behalf and to retain it for the period we instruct.
Some of the third parties are based outside the UK and/or the European Economic Area (EEA) so their processing of your personal data will involve a transfer of personal data outside the UK and/or the EEA. Whenever we transfer your personal data out of the UK and/or the EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is in place:
- We may transfer your personal data to countries that have been granted an adequacy decision by the European Commission and/or an adequacy regulation by the UK Secretary of State (as applicable) confirming that the country in question provides an adequate level of protection for personal data; or

5. Do we use cookies?

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognising and implementing DNT signals has been finalised. 6. How long do we keep your information?
We keep your information for as long as necessary to fulfil the purposes outlined in this privacy notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes we collected it for, as set out in this privacy notice.
When we no longer need to keep your personal information we will either securely delete it, or in some circumstances we may anonymise your personal data for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

7. How do we keep your information safe?
We have appropriate security measures in place to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions, and they are subject to a duty of confidentiality.
We also have in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
8. Do we collect information from under 18s?
Our goods and services and our website are not intended for children under 18 years of age and we do not knowingly collect personal data relating to children. If we learn that personal information from children has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records.
